The Event
- A life sciences company hosted a three-day, in-person commercial launch meeting for 140 attendees (Home Office functions, Sales, Marketing, and Executive leadership), plus a 20-person virtual stream. The program blended general sessions, sales training, product certification, and networking to educate, align, and energize the sales force ahead of launch.
The Challenge
- Bring a dispersed organization together in person for the first time and build momentum across remote teams.
- Deliver intensive training and certification on a compressed 8–10 week timeline.
- Align cross-functional priorities with both internal goals and the customer’s strategic needs.
- Create a memorable cultural moment that sustains launch momentum.
- Build a new customer relationship and deliver a high-quality experience on a startup budget.
- Develop and execute the themed experience in close collaboration with the customer and vendors on implementation.
The Results
- Prominent theme: A collegiate theme woven throughout the entire experience.
- Arrival and welcome: A high-energy opening general session, a festive “Quad” activation with a nacho bar, a Polaroid photo station, and a welcome social. The meeting app used QR codes, networking bingo, and leaderboards to drive engagement.
- Training intensive: Role-specific breakouts, certification rotations, and an expo of cross-functional resources to convert knowledge into field-ready skills.
- Engagement: “Game Day Study Hall” with themed stations including clinical data, MOA, speed selling, roleplay, and digital sales tools, alongside gamified elements to boost retention and motivation.
- Certification: Certification exams (13 cubicles, 80 people rotating in 1.5 hours) followed by leadership sessions, and opportunities to connect with executive leadership, including the CEO.
- Celebration: An offsite “Grad Night” with a rooftop cocktail hour, dinner, live band, and gaming tables, ending with a “graduate” cap toss.
